Who we are looking for…
We are looking for a motivated (and organized!) self-starter with work experience in team management, office management, and/or project coordination to manage the front-end of our sustainable landscape services division.
Ideally, we need a reliable, level-headed individual to “hold down the fort” (i.e. our new office space–which you will help design!), while also keeping track of active landscape projects and managing smaller landscape projects as they arise.
Your role will be the centerpiece of a dynamic landscape team that includes professional landscape designers, seasoned foremen, skilled technicians, as well as our various vendors and subconsultants.
Experience in landscaping, horticulture, tree care, and/or another related environmental discipline is a BIG plus, but is not required to succeed in this role. Much of what you need to know about landscaping can be learned on the job. What’s important is that you are willing to learn and excited to build our new office from the ground up.

As a Sustainable Landscaping Project Coordinator / Office Manager, you will be joining a company well-known for its habitat restoration and land management work, with many opportunities to learn about these aspects of our business. However, this role is specifically meant to help manage our growing sustainable landscape design-build division, which is based in Verona, Wisconsin and is where most of your time would be spent.
Our company’s mission is to help preserve the natural environment of our Midwestern home through sustainable land management practices and ecological landscaping. You will be a key component of this mission and will have the opportunity to hone your skills in project coordination, while potentially developing new skills in landscape project estimating, and even landscape design, should you be interested.
We work on projects of all scales, from residential backyards, to corporate campuses, to state parks, schools, and church grounds. Our passion (or “niche”) is “ecological” landscaping, which you can learn more about on our website.

Job Responsibilities:
During the busy season (April – November), our landscape team moves fast. From small landscape cleanup projects, to multi-week hardscape installs, we do it all!
Your job is to keep our landscape projects organized and our team moving forward by coordinating frequently with our project managers, foremen, clients, and vendors.
You will also be expected to help us maintain project records using tools like Microsoft OneDrive and Airtable.
Every project is different, but every project requires making sure materials are ordered, stakeholders are notified, and all the relevant crewmembers are ready to roll.
To reiterate–this role is in-person at our Verona, WI office, and will require frequent site visits, phone calling, email communication, file organization, and project estimating.
You will also have the opportunity to manage smaller landscape projects, yourself, taking them all the way from intake to bid to implementation.
Your work responsibilities will roughly break down by the following percentages:
40% Sales and Project Estimating
- Answering phone calls from a diverse set of clients, explaining the services our company offers and how our process can meet their needs
- Project site visits / landscaping consultations with new clients (primarily private homeowners)
- Working with the company owner, foremen, and vendors to develop accurate cost estimates for small landscaping projects, cleanups, and maintenance jobs
40% Project Coordination
- Frequent phone calls, texts, and email communication with landscape team members, clients, and vendors
- Tracking projects using tools like Microsoft Excel, Outlook, and Airtable
20% Office Management
- Answering the office phone whenever it rings, or following up with voicemails quickly
- Taking and forwarding messages to the relevant landscape team project manager, or managing smaller landscape projects, yourself
- Some phone calls will be for other company divisions (such as wildland management or tree care). Part of your role will be forwarding these messages to the appropriate project manager(s) from those divisions
- Setting up and maintaining our new office space, including printer station, desks, conference room, etc. (you won’t be alone in this!)
- Coordinating with third-party vendors (IT, website), etc. when issues or needs arise
- Taking and forwarding messages to the relevant landscape team project manager, or managing smaller landscape projects, yourself
Required Qualifications:
2+ years of related job experience
OR
2+ years of relevant college education
Desired Characteristics:
Tech-savvy: familiar with Microsoft Word, Excel, OneDrive, and Outlook
Organized: you will need to manage company files, calendars, and office spaces
Friendly! customer service skills are essential for this role, as you will be the “face” (and “voice”) of the EC3 sustainable landscaping division
Passionate: you care about sustainability, native plants, and environmental issues
Preferred Qualifications:
1+ year of project coordination, project management, or office management experience.
*Experience in landscape design, landscape installation or estimating is a plus!*
**Bilingual (English/Spanish) is a double plus!!**
